PART 5: What Else Do You Need To Submit?

This is the fifth part of a series for school Reflections Chairs called, “Ready To Send Your Winners to the Next Level?”

Are your 1st Place entries ready to advance? If you’ve read the earlier articles in this series, you know what you have to submit for each entry. You’ll also need to submit two more things with them: a list of entries being advanced, and a completed Unit Participation Form.

LIST OF ENTRIES BEING ADVANCED

This is just a simple list or an Excel printout to ensure that we know which entries the Council is supposed to have received from your school,

so we’ll catch it if something is misplaced. Please email it to AlexandriaPTACreflections@gmail.com AND supply hard copy with the entries. Include the following on your list, at minimum:

  • Name of school

  • Name and email address of Reflections Chair
  • Listing of advancing entries (1st Place winners) including, in this order, category, division, student name, and title of artwork.

(If you are a Council chair for your city or county, a simple list won’t do. You’ll need to send an Excel file giving details on all the advancing entries, using the template you’ve been provided.)

 

School Participation FormUNIT PARTICIPATION FORM

This is a form used by the state and national PTAs to keep track of how many students take part in Reflections. It records how many entries you received in each category and division.  This can be submitted as hard copy with the entries, or emailed (if you’re in the Alexandria PTA Council) to the Council Reflections Chair at alexandriaPTACreflections@gmail.com.

For the purposes of this form, when it says “students,” assume that means “entries.” If one student submitted entries in several categories, or submitted several in the same category, count each entry, rather than counting all the entries as one student. So we’re really tracking the number of entries, not the number of different students

If for some reason you can’t get exact totals, please estimate.

Download the School Participation Form here; it’s customized for Alexandria schools, with some blanks already filled in. (Other NoVa chairs are welcome to cross out “Alexandria” and fill in their own city or county.) For the rest of the PTA info, use the same contact info that you put on your Student Entry Forms.

Every entry submitted to your contest should be counted on this form, whether it won an award or not. Also count entries that were incomplete or disqualified.
